MECH Inspect training

Short lessons for technicians, service advisors and shop managers. Each one has a quick guide you can read in a minute or two, and a video is on the way for every lesson.

Lesson 1: Open the side panel and sign in

For technicians and service advisors. Open MECH Inspect next to your shop software, sign in, and find your way around the tabs.

Quick guide

  1. Open your shop software in Chrome and go to a repair order.
  2. Click the MECH Inspect tab on the right edge of the page, or press Ctrl+Shift+M (Command+Shift+M on a Mac).
  3. Sign in. If two-factor is on for your account, enter the 6-digit code from your authenticator app.
  4. Look across the tabs: Dash, Diag/Est, Reports and Library.
  5. Press the same shortcut again, or the tab, to close the panel.

Remember

  • Two-factor sign-in is an option you turn on in dashboard Settings. It is not required.
  • A switch in the side panel turns off the tab on the page edge. The shortcut keeps working.

Lesson 2: Polish a tech note

For technicians. Turn the note you wrote at the car into a clear note a customer can read.

Quick guide

  1. Open the repair order and click into the technician note field.
  2. Write the note in your own words. Include what you found, what you measured and what you recommend.
  3. Use the Polish buttons above the note.
  4. Read the rewritten note. Fix anything that does not match what you found.
  5. Keep the note. If something was missing, add it to your draft and polish again.

Remember

  • Polish uses AI to write. It works from your note, so put the facts in your note.
  • You are responsible for what the customer reads. Always read it first.
  • The Polish buttons come back on every new note.

Lesson 3: Customer Intake at the counter

For service advisors. Turn the customer's description into a clear concern, and see what is still worth asking.

Quick guide

  1. Open the repair order and type the customer concern in your own shorthand.
  2. Press Intake above the customer concern.
  3. Read the clear note it produces and fix anything that is off.
  4. Check the side panel for questions still worth asking, and ask the ones that fit.
  5. Add the answers to the concern so the technician has them.

Remember

  • Intake works from what you typed. A detail you leave out cannot show up.
  • Read the result before it stays on the repair order.

Lesson 4: Advisor Findings and Advisor Sell

For service advisors. See every finding on the repair order in one summary, then get talking points for each repair.

Quick guide

  1. Open the Dash tab on the repair order.
  2. Press Advisor Findings to get one summary of every technician finding on the work order.
  3. Read the summary. Check it against the technician notes if something looks surprising.
  4. Press Advisor Sell and choose a recommended repair to get talking points, benefits and the risks of declining.
  5. Use the points in your own words with the customer.

Remember

  • Always say Advisor Findings and Advisor Sell, so everyone means the same buttons.
  • The tool writes talking points. The advisor makes the sale.
  • Both buttons work at any time. You do not need to open a note first.

Lesson 5: The vehicle card and service history

For technicians and service advisors. Read the vehicle facts, find past work fast, and check recalls.

Quick guide

  1. Open the repair order. The Dash tab fills with the vehicle once it is read.
  2. Find the battery location on the vehicle card. Tap the info button for the exact spot and battery type.
  3. Scroll to Service History. In a multi-store company, look for the store name on each visit.
  4. Type keywords into the history search. Records with every word come first.
  5. Open Recalls or Last known when you need them, and collapse them again.

Remember

  • No battery location means that vehicle has not been checked yet. Nothing is guessed.
  • The history is your shop's own repair orders for the vehicle.
  • Search before you quote. A recent service changes the conversation.

Lesson 6: Find bulletins in the TSB drawer

For technicians and service advisors. Look up manufacturer bulletins for the vehicle by trouble code or symptom.

Quick guide

  1. Open the Dash tab. The TSB drawer sits below Service History and loads for the vehicle.
  2. Type a trouble code or a symptom into the drawer search.
  3. Read the matches. Each shows the manufacturer's bulletin number and date.
  4. Open the link to the manufacturer's document where one is shown.
  5. In Diag/Est, check the line under Find Fixes that says how many bulletins mention your code.

Remember

  • The bulletins are NHTSA filings shown as filed. They are not AI output.
  • Coverage varies by make. An empty drawer is not proof of no known issue.
  • MECH Inspect does not interpret a bulletin. Read the manufacturer's text.

Lesson 7: Service Recommendations

For service advisors. Get a list of services due, based on the manufacturer's intervals and what the vehicle has had done.

Quick guide

  1. Open the Dash tab on the repair order.
  2. Press Get Service Recommendations.
  3. Read each line on the Recommended Services card: the service and the reason.
  4. Use a line's own copy button for one service, or Copy Summary for the whole list.
  5. Use Advisor Sell on the services you plan to offer.

Remember

  • The recommendation rules use no AI. They compare manufacturer intervals with the vehicle history.
  • Copy Summary leaves out the shop template and the video link.
  • The list is a starting point. You decide what to offer.

Lesson 8: Find Fixes and Estimate Job

For technicians. Get help with a code or symptom, or a labor, parts and sequence outline for a job.

Quick guide

  1. Open the Diag/Est tab.
  2. Set the switch to Diagnose. Enter a trouble code or symptom and run Find Fixes.
  3. If the result says bulletins mention your code, open the TSB drawer and read them.
  4. Confirm on the vehicle. Then set the switch to Estimate Job and describe the job in plain words.
  5. Compare the labor, parts and sequence with your own labor times and the vehicle.

Remember

  • Find Fixes and Estimate Job use AI. Treat the output as help and confirm it yourself.
  • Estimate Job was called Plan Job before. The tab was called Diag.

Lesson 9: Quick Templates: type // and send

For technicians and service advisors. Insert your saved messages and notes by typing two slashes.

Quick guide

  1. Click into any note field and type //.
  2. Type a few letters to narrow the list, then pick a template.
  3. Check that the customer name, vehicle and RO number came through.
  4. To make a shortcut, save a template with one (for example -ty). Type it and press Space, Enter or Tab.
  5. Manage templates in the dashboard under Templates, or in the Library tab of the side panel.

Remember

  • You write the templates. Quick Templates inserts them.
  • Share puts your template in a team you joined. Copy to my templates copies a team template to your list.
  • It has been tested on one shop system. If // does nothing, write to support@mechinspect.ai.

Lesson 10: MECH Inspect Scan on your phone

For technicians. Read a VIN, check the vehicle, build a Brake or Tire report, and send it to the shop.

Quick guide

  1. On your phone, open mechinspect.ai/scan in the browser and sign in. Add it to the home screen if you like.
  2. Scan the VIN barcode, photograph the printed VIN, or type it in.
  3. Read the vehicle card, the shop's service history and the overdue services report.
  4. Open the Brake or Tire report and enter your measurements.
  5. Press Send to Shop. Then attach the report to the repair order from the side panel on the shop computer.

Remember

  • Scan reads VINs only, not license plates.
  • It runs in the phone's browser. It is not in an app store.
  • The history in Scan is your shop's own service history for the VIN.

Lesson 11: Reports: tire, brake, battery, A/C and warning lights

For technicians and service advisors. Enter your readings, get a color coded report image and a ready note, and send it to the ticket.

Quick guide

  1. Open the Reports tab and tap the header of the report you need.
  2. Enter your readings. Everything is optional, and blank readings are left out.
  3. For A/C, enter the ambient temperature and gauge readings, tap Analyze Pressures, then move to the Report half.
  4. Tap Send to Ticket. With one saved note open for editing, the text and the image go into it. Review and publish.
  5. For Warning Light Report, add the scan file or photo, tap Generate Notes, then copy the notes into the repair order.

Remember

  • Tire, Brake, Battery and A/C notes are built from your numbers. They are not AI written.
  • Warning Light Report uses AI to read the codes, and gives text only.
  • If no single note is open for editing, Send to Ticket copies the text instead.
  • The shop logo, if uploaded, is on the report image.

Lesson 12: Set your own service intervals

For shop managers and admins. Change how often routine services are recommended across all of your shops.

Quick guide

  1. Sign in to the dashboard as an enterprise admin and open Shop Note Templates.
  2. Scroll to the Recommendation Cadences card at the bottom.
  3. Find the service. Enter your miles, your months, or both.
  4. Press Save on that row.
  5. To undo, press the reset icon, Reset to MECH Inspect default.

Remember

  • Enterprise admins only. The card does not show for anyone else.
  • It applies to every shop in the company.
  • Blank means the MECH Inspect default. Save needs at least one of miles or months.
  • Vehicle specific items such as timing belts and spark plugs are not listed.

Lesson 13: Suggest and approve template changes

For shop managers and admins. Shops suggest note templates, the enterprise admin reviews them in one queue.

Quick guide

  1. Shop owner: open Shop Note Templates, use the suggest option, fill in the title and optional details, and submit.
  2. Enterprise admin: open Shop Note Templates and look at the Template Suggestions card at the top.
  3. Press Review on a row. Edit the keyword or description if needed.
  4. Press Approve (the button names the action) or Reject.
  5. For an AI voice change, read the current and proposed text and confirm Apply to all shops.

Remember

  • Only the enterprise admin can approve or reject.
  • What is in the fields when you approve is what is saved.
  • A suggestion that was already reviewed cannot be reviewed again.
  • AI voice changes apply to every shop, so they ask you to confirm.

Lesson 14: Customize the AI voice

For shop managers and admins. Add your own instructions to how the writing features sound, for one shop or the whole company.

Quick guide

  1. Open Settings in the dashboard and choose the AI Prompts tab.
  2. Pick a Voice Starter, or write your own instruction for a feature.
  3. Use the sample input and test to see the result. Nothing is saved by testing.
  4. Press Save All Changes. Enterprise admins confirm Apply to all shops.
  5. Shop owners under an enterprise: press Suggest change on a feature instead. The enterprise admin reviews it.

Remember

  • Four features: Technician Polish Notes, Advisor Customer Intake, Advisor Sell, Advisor Findings.
  • An enterprise setting wins over a single shop setting.
  • Empty means the standard behavior.
  • Read the output. Instructions guide the writing, they do not guarantee it.

Lesson 15: Upload and tag your own videos

For shop managers and admins. Add your shop's own MP4 explainers and tag them to a service so they attach to matching recommendations.

Quick guide

  1. Open Video Library from the dashboard menu.
  2. Press Upload Video. Enter a title and choose an MP4 under 25 MB.
  3. Pick the service in Service (optional) so it can attach to matching recommendations.
  4. Use the Tag service dropdown later to tag, retag, or clear a video.
  5. Use the switches under Default Videos to hide the ones you do not want.

Remember

  • MP4 only, under 25 MB.
  • Shop owners and enterprise admins upload. Technicians and advisors view.
  • Untagged videos do not attach on their own.
  • Enterprise admins can pick a video per service in Video Sources. Auto is the default.

Lesson 16: Read your usage numbers

For shop managers and admins. See who is using MECH Inspect, how often, and for what.

Quick guide

  1. Open Analytics from the dashboard menu.
  2. Enterprise admin: read the four headline numbers, then the activity trend and action mix.
  3. Shop owner: pick a time range and a role filter, then move through Overview, Activity, Team and Features.
  4. On Team, open a person from Top users to see their detail.
  5. Use My Stats to see your own numbers.

Remember

  • Shop owners and enterprise admins see Analytics. Everyone has My Stats.
  • The numbers show use of MECH Inspect, not sales results.
  • Start with a conversation, not a scorecard.

Lesson 17: Run a friendly competition

For shop managers and admins. Turn on a monthly leaderboard for your company and set the prizes.

Quick guide

  1. Sign in as an enterprise admin and open Friendly Competition.
  2. Turn on the Friendly competition enabled switch in the Status card.
  3. Set the timezone, the individual prize and the shop prize, then press Save.
  4. Open View current rankings to see the standings during the month.
  5. Check Winner history at the end of a cycle.

Remember

  • It is off until an enterprise admin turns it on.
  • Each cycle is one calendar month in your timezone. The first cycle starts after the next nightly run.
  • Switching it off stops new points. Existing points and winners are kept.
  • Announce it to the team first, and keep it friendly.

Lesson 18: Put your logo on it

For shop managers and admins. Upload your logo so it shows in the side panel and on your report images.

Quick guide

  1. Open Settings in the dashboard and choose the Branding tab.
  2. Press Upload Logo, or drag a PNG, SVG or JPG onto the box.
  3. Check the preview under Current Logo.
  4. Open a Tire, Brake or A/C report image and check the logo.
  5. To remove it, use the X next to Current Logo.

Remember

  • PNG, SVG or JPG, under 2 MB. A horizontal logo with a transparent background works best.
  • Logo only. Colors and the product name do not change.
  • An enterprise logo overrides each shop's own logo. A shop under it sees it as read only.
